Cancel Customer Schedules Not Sent by Customer

About the Client

ACS Industries manages customer schedules and sales processes through its IFS ERP environment, receiving schedules through both EDI and non-EDI channels. The client required a reliable way to identify missing customer schedules and keep IFS records accurate and up to date, while reducing the planning team’s dependency on repetitive manual reconciliation.

The Challenge

The project required automating a complex IFS workflow with different reconciliation paths and variable system behavior. The bot needed to handle Plan and Plan + Call-off schedules, manage inconsistent system prompts, create Call-off records through the Duplicate function, and ensure the correct final status. It also had to process potentially high-volume datasets of up to 100,000 rows, while isolating failures, logging exceptions, and continuing the remaining records without interrupting the overall run.

The Objective

The objective was to automate the reconciliation of missing Customer Schedules in IFS, including schedules not received through EDI or non-EDI channels. The solution was designed to process every flagged record accurately without duplication, apply the appropriate Plan or Plan + Call-off logic, and reliably reconcile schedules at scale while reducing repetitive manual work for the planning team.

The Solution

  • UiPath automation bot — built in UiPath Studio, driving the IFS desktop application - accessed by logging in via Microsoft Edge - to extract, create, and reconcile Customer Schedule records end to end.
  • Quick Report intake — the bot navigates Business Reporting & Analysis > Ad-Hoc Reporting > Quick Reports, exports 'Customer Schedule - RPA Missing Schedules' as CSV, and validates the file before processing.
  • Conditional branching engine — the 'Doc Types' column drives automated selection between the 'Plan only' and 'Plan + Call-off' process paths for each row.
  • UiPath Orchestrator — manages scheduled and manual triggering, credentials for the RPA service account, and centralized run monitoring.
  • Structured exception handling — seven defined exception categories (EX-01 to EX-07) capture and log every failure mode without halting the overall run.
  • Run summary & notification — an end-of-run log (rows processed, successes, exceptions) is generated automatically and shared with the process owner
