Customer Schedules – Reconcile Failed Automation

Start Your Project

About the Client

ACS Industries is a customer-focused industrial organization that manages purchase orders, delivery forecasts, and schedules across a growing customer base. With more than 30 customers involved in the process, the client required a scalable and automated approach to handle inbound order information and integrate it efficiently with its IFS ERP system.

The Challenge

The project involved automating a complex, state-dependent IFS workflow where no REST/OData API was available, making UI automation the only integration path. The bot had to interpret dynamic popup messages, handle changing UI controls and status transitions, perform conditional line-by-line quantity calculations, and carry data across multiple IFS screens. Since actions such as Set Reconciled can bypass standard system checks, the automation also required precise sequencing and validation to avoid incorrect or irreversible updates.

The Objective

The objective was to automate the IFS schedule reconciliation process to eliminate repetitive manual intervention, ensure same-day processing, and consistently apply predefined reconciliation rules. The solution was also designed to provide safe exception handling by logging and escalating schedules that fall outside the defined scenarios rather than processing them incorrectly.

The Solution

  • UI Automation engine — a UiPath Studio workflow driven entirely by native IFS window and control selectors, with no dependency on an API layer.
  • Message-driven routing — robust string-matching on live IFS popup text to detect Scenario A, B, or C at runtime and branch accordingly.
  • Deterministic line logic — for every line, the bot fetches the Customer CUM directly from that line and the ACS CUM from the schedule, then applies an IF condition (Customer CUM ≤ ACS CUM → 0, else Customer CUM − ACS CUM) line-by-line with a stop condition at the first positive delta, plus the matching Line Type update.
  • Orchestrator-managed execution — scheduled unattended daily runs, with structured exception handling and email/log alerts on failure.
  • Full transaction logging — every processed schedule is written to Orchestrator logs and a daily CSV/Excel report (Doc No, Customer Part, Schedule No, Scenario, Final Status, Error).

Controlled scope — search filters (Created ≥ 7 days ago, Status = Reconcile Failed) and out-of-scope rules keep the bot inside its validated boundaries; anything else is escalated to the BA team.
